The new financial reporting system, which is produced by Genis , is
being used by the Migration and Integration Directorate, the department of the
Ministry of Internal Affairs (Ministry of the Interior) to help improve the
supervision of work with refugees and foreign citizens and ensure effective
reporting to both European and Slovenian institutions.
LJUBLJANA, KRANJ, 22 June 2010 - Genis , the leading manufacturer of IT
solutions for electronic business of companies and public administration, has
developed a modern system of financial reporting - AZILDW for the Migration and
Integration Directorate. Automated reports and analytical capability within the
standard working environment enables users a faster and easier preparation of
reports from the three systems which includes the Asylum register, whose
reports had to be prepared manually until now. By using the AZILDW solution,
which is based on a data warehouse, users can, by pressing a button, obtain
aggregate reports and detailed data from different processes, such as obtaining
residence permits and the status of international protection and integration of
refugees into the community. The primary challenge in
establishing a comprehensive and automated support system for decision making
and reporting was to create a data source, which would combine data from both
the documents as well as the database. The asylum register joins the
three related information systems, which are produced in different information
environments and each one has its own database of information or of documents:
- the Asylum Register on the Register of Deaths, Births and Marriages
and Register of Permanent Residents web portal (MRRSP), which has been
designed as a Java based web solution and the web and database server Oracle
- the Asylum Register - Asylum documents, used by the Asylum Home and
based on a Lotus Notes document database - the Asylum Register -
Refugees documents, used by the Department of Refugees and Foreigners and which
is based on the Lotus Notes document database In developing this
analytical system Genis took into account a range of factors from which they
have produced a tailored solution, which allows users to work optimally. To
build a data warehouse, Oracle Warehouse Builder was used, for the preparation
of analytical products Oracle BI Discoverer was used. "Based on the experience
gained during the project it was most appropriate to establish the analytical
systems in those environments where data was actually recorded," explained
Lilijana Pretnar, the Project Director of Genis. Thus, a part of the analytical
functionalities was provided through a data warehouse, in the form of
MRRSP, and by the use of Oracle Discoverer software PLUS, and a part was
provided by Lotus Notes. This way, the users of MRRSP were also
given access to data from both document databases via the web portal, while
users of Asylum documents and Refuge documents were provided, through Lotus
Notes, with additional data from MRRSP. The analytical solutions
for Lotus Notes provide even further functionality: - in addition to
manually launched preparation of reports, automated preparation is also
supported - export of reports into a Word or Excel document
- storage of reports, which show the overview of the performed procedures
on a current day, in the form of documented data; that will
allow future insight into the past recordings of a situation " It has been proven again that it is crucial that the target users, whom
the products are designed for, participate in the analysis phase and
preparation of the strategy and planning of specifications for our solutions.
This way the users accept the products as their own, as seen at the workshop
designed to improve practical skills and knowledge of the users, "said Vesna
Kristan, Project Manager of Genis. In total, 10 new standard
reports have been produced by Genis, on the basis of which users can
immediately obtain a desired report. Genis's products also enable the automatic
preparation of a Daily report, so the report is ready and waiting in the
morning upon the user's arrival to work. In addition to
monitoring individual processes of international security, analyzing the
applications and the decisions, the supervision over restrictions of movement
and lodged appeals and in the process of international protection, under
various criteria (eg. type of the case, the nature of the decision, the
nationality, type of decision, the reason or purpose, the gender and the
appointed guardian, etc) there are now additional analyses possible: -
the analysis of applications and the decisions in obtaining financial
compensation for private housing and the list of names of the persons involved
- the analysis of the applications and the decisions on private housing
and the list of names of the persons involved - the status of all
persons in the Asylum register according to various criteria -
Preparation of daily reports of procedures for asylum applicants -
Further analysis of applications for international protection and analysis of
the sent and received Dublin procedures. More information on
