Administrative secretaries need electronic folders and electronic archive

88 percent of Slovenian companies are looking for efficient solutions for
managing electronic business documentation. KRANJ,
2. 6. 2009 – Company Genis, the leading provider of information solutions
for electronic operation of companies, institutions and public administration
has conducted a survey on the use of document systems and electronic archive at
the recent 16th Congress of secretaries and administrative secretaries. The
survey in which participated 209 representatives of small, medium and large
sized Slovenian companies and public institutions showed that companies do not
have organized business documentation with electronic folders and electronic
archive despite fairly frequent use of document systems. Genis's
survey discussed the widespread of document systems and the demand for
information solutions for electronic operation upon administrative procedures.
48 percent of the companies are already using document system for storage of
business documentation, little more than 2 percent will implement it this year
and nearly 46 percent stated that their company is thinking about the
implementation. "Slovenian companies have started using document
systems but since they use them mostly for documentation storage, these systems
have no great business value," explained Stane Štefančič, the director of Genis
and added: "Advanced operation demands information solutions which enable
efficient execution and the connecting of work procedures over various records
and documentation systems." Such an information solution is e-Office by Genis,
which enables central storage, distribution and use of documentation that is
created upon the company's communication with its business partners, buyers and
public institutions. Slovenian secretaries and administrative
secretaries need, due to the greater extent of the work and the growing
documentation, efficient solutions which will enable them organization and fast
access to the relevant documents. Electronic folders are the basic application
with which the company guarantees itself an organized documentation management,
by subject, business, department or employee. Genis's survey showed that almost
43 percent of organizations would need electronic folders. The
advance of electronic archiving services and solutions promises a substantial
speeding up of the electronic operation. The survey confirmed the raising
demands for electronic archiving, since more than 57 percent of the respondents
stated that they would need an electronic archive while doing their work.
"Slovenia is ready for electronic archiving but the economy is still somewhat
cautious with such steps since everybody is waiting for the largest
organizations, for example governmental agencies, to start with it," also said
Štefančič. By using legally conformed electronic archiving, companies and
institutions can mostly dismiss the use of paper documents in their procedures
and thus economize and speed up their operation.
